About the role: 

As an Office Assistant, you will offer secretarial/administrative support to the Luxembourg office. The successful candidate will be responsible for general admin/coordination and reception duties for the office. You will be the main point of contact for internal and external business relations.

 

In this role, you will:

  • Offer office admin and secretarial support
  • Mainly provide follow up on legal and tax agreements to keep Luxembourg records up to date.
  • Follow up on approval of invoices, PO’s and other documents.
  • Produce internal invoices, Purchase Orders and other documents, as required.
  • Make travel arrangements (taxis, flights, hotels, etc).
  • Organize board meetings and provide assistance.
  • Place stationery, equipment, groceries orders and make sure the office is well supplied.
  • Sort and distribute incoming mails, send out outgoing mails.
  • Answer (and redirect) phone calls.
  • Welcome visitors and suppliers.

  • Representative and friendly
  • Be proactive, work accurately
  • Needs to be able to work from instruction as well as on own initiative and (self) prioritize workload in a timely and  effective manner
  • Good command in Excel 
  • Computer literate 
  • Speak and write French and English fluently
  • A fast learner with experience of change management
  • Experience with similar position
  • Ability to work independently and as part of a team
  • 5 days office based function

Education

  • Secretarial or administrational education or equivalent work experience
