About the role:

As an Office and Administration Assistant, you’ll play a key role in supporting our teams in Croatia across administration, HR, and office coordination. You’ll assist the Country Director with calendar management, travel logistics, and internal communication. The role includes organizing meetings, preparing reports, and ensuring smooth office operations. You’ll also be helping with employee related matters & events. We’re looking for someone agile, adaptable, and highly organized, who thrives in a fast-paced, changing environment. Strong communication skills, discretion, and a collaborative mindset are essential. Creativity and problem-solving abilities will help you succeed in this dynamic role. In this role, you will:

  • Act as the main point of contact and support for the Country Director.
  • Manage calendars, schedule meetings, and take minutes.
  • Organize travel and accommodation for executives, guests, and employees.
  • Prepare internal and external communication materials (emails, reports, presentations).
  • Support onboarding, offboarding, and HR-related processes.
  • Coordinate office supplies, maintenance, and vendor relationships.
  • Organize employee events, celebrations, and team-building activities.
  • Maintain accurate records and reporting for HR and office operations.
  • Ensure smooth flow of information across departments and stakeholders.
  • Assist with finance-related tasks such as invoice tracking and internal orders.
  • Support planning and logistics for sales events and special guests.
  • Collaborate with internal teams and external partners.
  • Handle confidential matters with discretion and professionalism.
  • Contribute to a positive, well-organized, and efficient office environment.

What we’re looking for:

Essential Technical Skills

  • Native Croatian speaker with good English (spoken and written).
  • Comfortable using Microsoft Office (Outlook, Excel, PowerPoint, Teams) and office equipment.
  • Experienced in managing calendars, emails, and organizing travel and events.
  • Knows how to keep the office running smoothly and work with external suppliers.
  • Can help manage budgets and keep track of costs.
