HR Service Representative (Temporary Contract for 18 months)

About the role:
As an HR Service Representative, you will interact with local HR Managers, HR Business Partners, and HR Admins across Europe & Africa while providing high-quality customer service to Herbalife employees and managers.
You will act as a key point of contact for potential, current, and former employees, supporting them across various HR processes and ensuring smooth HR operations within a Shared Services environment.
In this role, you will:
- Support administrative and operational HR tasks and provide customer service to employees and managers across the region (Onboarding & Offboarding, Benefits Administration, Learning & Development Administration, Rewards Administration, Personnel Records Maintenance, Data Management, Reporting & Analytics),
- Maintain and update HR systems, ensuring accurate data entry, data maintenance, and performing quality checks and audits,
- Prepare reports from various HR systems for HR partners and managers on request and on a regular basis,
- Prepare HR documentation such as employment contracts, amendments, and other employee-related documents, including collecting signatures and maintaining electronic archives,
- Support process design and documentation as well as development and optimization of HR processes,
- Be part of transition and transformation projects, supporting the establishment and development of the HR Services function in Kraków,
- Support automation and digitalization initiatives within HR Services,
- Ensure professional and timely communication with internal stakeholders and external partners.
Our Requirements:
- Experience in HR administration, HR Operations, or Employee Lifecycle processes (Shared Services environment will be an advantage),
- Knowledge of Polish labour law and understanding of the Polish employee lifecycle,
- Bachelor’s or University degree, preferably in HR or HR-related fields,
- At least 2–3 years of experience in Human Resources (HR Operations, HR Administration, Employee Lifecycle, Tier 1 or Tier 2 support),
- Experience in transition or transformation projects will be an advantage,
- MS Office proficiency (Word, Excel, Outlook; knowledge of additional tools is a plus),
- Strong organizational and planning skills with the ability to manage multiple tasks simultaneously,
- Customer-oriented mindset with strong interpersonal and communication skills,
- Ability to work independently as well as collaborate effectively with virtual teams,
- High level of integrity and attention to detail,
- Fluency in English; additional European language will be an advantage.
